Here are the basics for properly using the Mail Forwarding & Scanning Service, an Add-On to our Business Address Service.
- Clients are charged for forwarding postage
- There is no charge for scanning mail
- Clients can call or email staff to ask about the mail we have for them using the following contact information: (949) 681-3500 and support@irvinevirtualoffice.com
- Clients can choose to have all their junk mail discarded through their account
- Mail is forwarded once a week on Friday (or Monday for mail received on Friday) unless requested to do so earlier by client.
- ALL packages are forwarded the 2nd Friday after receiving them unless requested to do so earlier by client. Clients will be charged accordingly for postage.
- Clients must request to have their mail forwarded via their account if they do not want to wait for our designated forwarding weekday (Monday/Friday)
- Clients (or authorized staff members) can pick up their mail Monday-Friday from 8:30 AM-5:00 PM by checking in with the receptionist.
- If client's forwarding address is different than the address they used to sign up, it is their duty to change it through their account or notify us of the change
To Add/Change A Mail Forwarding Address:
1. Log into your account at https://irvinevirtualoffice.com/login
2. Click on the My Services tab
3. Click Details next to Business Address
4. Click Edit Address under Mail Processing (Mail Forwarding & Mail Scanning)
5. Enter the address you want mail forwarded to and click Update Address
To Request Junk Mail to be Discarded:
1. Log into your account at https://irvinevirtualoffice.com/login
2. Click on the My Services tab
3. Click Details next to Business Address
4. Check the box under under Mail Processing (Mail Forwarding & Mail Scanning) and next to I want IVO staff to discard/shred any junk mail I receive at my business address
To Request Mail to be Forwarded/Scanned/Shredded/Returned to Sender:
*Note that you must have an active notification of received mail to do this
1. Log into your account at https://irvinevirtualoffice.com/login
2. Click on the My Services tab
3. Click Details next to Business Address
4. Click Action under Mail Received
5. Click the Arrow to view the drop-down list and choose your desired action. You can choose to have your mail scanned, forwarded, opened and scanned, discarded, or returned. Choose your selection. Note that you can only make one selection per notification
6. If 2nd actions are required, clients can call or email staff using the following contact information: (949) 681-3500 and support@irvinevirtualoffice.com
To Add an Authorized Staff Member:
1. Log into your account
2. Click Details under Business Address
3. Click Add Person under Authorized Staff Member
4. Enter staff member information and click Add Person
